A visit, and often no part at all
Connectors, configuration and settings. The work is a technician being on site and knowing what to look at.
Diagnostic labour, minor materials
Wiring, terminations, drain lines, addressing. Someone has to trace a fault across a building, but there is rarely an expensive part at the end of it.
A real component, or a proper refrigerant procedure
Boards, sensors with awkward access, or recovering and recharging to correct a charge problem.
Significant components, or work across the system
Fan motors and their drives, expansion valves, pressure faults needing several things put right at once.
Major components or extensive labour
Control boards on large outdoor units, compressor circuits where the fault has not yet reached the compressor, or capacity problems needing a design answer.
Refrigerant work at commercial scale
Locating a leak across long pipe runs, recovering the charge, repairing, pressure testing, evacuating and recharging. The refrigerant volume alone is a real cost.
Compressor replacement territory
The component, refrigerant recovery and recharge, system cleanup where an electrical failure has contaminated the circuit, and substantial labour moving a heavy part in a plant location.
Most expensive faults were cheap ones first
This is the single most useful thing on this page. Compressors are rarely killed by a compressor problem. They are killed by something inexpensive that was reset rather than diagnosed, over and over, across a season.
An outdoor fan stops. Heat cannot be rejected, pressure climbs, and the compressor absorbs it.
A drain blocks. The equipment cost is trivial; the water damage above a tenant ceiling is not.
A small leak goes unrepaired. The system runs undercharged, poorly lubricated, and hot.
A loose terminal is reset repeatedly instead of tightened, and eventually takes a board with it.
The practical consequence: the cheapest thing you can do about VRF costs is deal with the small faults promptly, and stop resetting protection codes to get through the week. Nearly every top-band repair we attend had a cheaper warning attached to it first.
What actually drives the number
The intuition is that a bigger system costs more. On VRF that is only partly true, and it explains why quotes for the same fault vary so much between buildings.
Two buildings with identical equipment and the same fault can differ substantially, because one has its indoor units above an open warehouse and the other has them above an occupied law firm that needs out-of-hours access.
Access
Ceiling voids, occupied tenant space, rooftop safe-access requirements. Frequently the largest single component.
Indoor unit count
More units means more drains, sensors and terminations — and more time per visit.
Refrigerant volume
Large charges across long runs make any refrigerant procedure a substantial job.
Diagnostic access
Manufacturer software is gated. A contractor without it either cannot diagnose, or bills for the guesswork.
What was done before
Overcharge, incomplete commissioning and unrepaired leaks left by previous contractors all add scope.
Why we publish bands and not prices
We could put figures on this page. They would be wrong often enough to be useless, and you would rightly hold us to them.
A drain fault above an open-plan office at 10am is a different job from the same fault above a trading floor that can only be accessed at weekends. A refrigerant leak on a compact system is a different job from one distributed across eight floors.
What a band does tell you reliably is what class of problem you have — whether you are looking at a visit, a component, or a capital conversation. That is usually the question people are actually asking, and we would rather answer it honestly than quote a number we would have to walk back.
Cost FAQs
How much does commercial VRF repair cost?
It ranges enormously by fault. Communication and drain problems sit at the cheaper end because they are labour rather than parts. Compressor replacement is the most expensive repair on the system. The fault itself, not the equipment size, drives most of the difference.
Why do you publish cost bands rather than prices?
Because honest figures depend on your building. Access, indoor unit count, how the system was installed and what a previous contractor left behind all move the number materially. Bands tell you what class of problem you have without pretending to quote unseen.
What makes VRF more expensive to service than standard HVAC?
Access and refrigerant volume. Equipment sits in ceiling voids and on roofs, so reaching it consumes real time. Charge volumes are large across long pipe runs, which makes any refrigerant procedure a substantial job rather than a quick top-up.
Is VRF compressor replacement worth it, or should I replace the system?
It depends on system age, the condition of everything else, and what caused the failure. A compressor that failed because of an unrepaired leak on an otherwise sound system is worth replacing. One on a system with multiple ageing components may not be.
How much does VRF maintenance cost compared to repairs?
Maintenance is priced by indoor unit count and access rather than tonnage, and it is a planned cost you control. Most of the faults we document are preventable, and the cheapest to prevent are frequently the ones that do the most damage untreated.
Can you give me a price over the phone?
We can tell you what band you are likely in from the code and symptoms, which is usually the answer people actually need. A firm figure needs the system seen, because access and prior work affect the job more than the fault description does.
